Management of the preschool

We are a registered charity and therefore, run by a parent management committee. This is made up of parents whose children attend the pre-school. The elections take place yearly at our Annual General Meeting and we are always looking for more volunteers.

The committee is responsible for:

  • Managing the pre-school’s finances

  • Employing and managing the staff

  • Making sure that the pre-school has policies which it adheres to, therefore helping it to provide a high quality service

  • Making sure that the pre-school works in partnership with the children’s parents

The Annual General Meeting is open to the parents of all of the children who attend the pre-school. It is our shared forum for looking back over the previous year's activities and shaping the coming year's plan.

Committee Responsibilities

a rough guide to the preschool committee

Our preschool has a committee that works hard ‘behind the scenes’ to keep the preschool running smoothly by organising fundraising and attending to the business aspects of the school. See below what each role entails. Please feel free to ask for the names of the committee members should you wish to contact us about something within our area of responsibility or if you would like to become involved.

Main responsibilities of the committee

The committee elected by a properly constituted group has the same responsibilities as the owner of a business. It is responsible for:

  • The smooth running of the group and for the welfare, care and education of the children who attend.

  • Deciding what to buy, paying the bills, fixing the fees and initiating fund raising.

  • Employing staff, deciding salaries and ensures PAYE and National Insurance contributions are paid.

  • OFSTED requirements and obligations relating to the hire of premises and insurance are met.

  • Determining the admissions policy and making sure that the group operates in a non-discriminatory way.

  • The financial accounts of all the group's activities to present to the members - and where appropriate, the Charity Commission - for approval each year.

  • Taking legal responsibility for the group and all its actions (or inaction). If the group gets into legal or financial trouble, members of the committee can in many cases be held responsible

Chairperson

  • Set agenda for meetings and chair meetings/AGM

  • Ensure Pre-school is run effectively and all spaces are full

  • Apply for funding if opportunity arises

  • Assist with arranging general maintenance and repairs to the setting

  • Place advertisements for staff, arrange and attend interviews with Manager

  • Liaise with and co-ordinate between manager/staff and committee on any decisions or actions required

  • Update Ofsted and the Charity Commission with details of committee members

  • Deal with staff issues with the manager as they arise

  • Liaise with parents on committee matters and fundraising

  • Oversee fundraising activities

  • Speak at Christmas play and Leavers Assembly

  • Organise gifts for the children at Christmas and for staff at end of academic year

  • Responsible for payment of wages, payments of bills, tax and National Insurance matters

  • Maintain appropriate accounts

  • Liaise with the Chairperson and committee with regard to staff wages increase and fees

  • Produce monthly accounts and end of year accounts for committee meetings and AGM

  • Ensure end of year accounts are externally verified and submitted to the Charity Commission where appropriate

  • Attend committee meetings and AGM and take minutes

  • Distribute minutes to committee members and put onto notice board at Pre-school

  • Assist chairperson with correspondence e.g. appointment letters for new staff

  • Keep an updated list of members of Preschool committee and staff; names and contact details

  • Organise letters to local companies requesting donations for the Xmas/Easter raffle and write and send subsequent ‘Thank You’ letters acknowledging gifts

events, entertainment & fundraising

  • Draw up a list of activities and timetable for each event e.g. Halloween disco, Easter Fair

  • Book village hall for events where necessary and ensure events are advertised in the Parish magazine and around the village; Post Office, Co-op, local primary school etc.

  • Draw up a check list of what is to be done and what is required for each event and circulate among committee members to ensure that all jobs are distributed

  • Check progress of jobs regularly

  • Delegate as necessary

  • Oversee event on the day

  • Book entertainers e.g. for Xmas party

  • Book the bouncy castle for sponsored bounce

  • Organise raffles for the Xmas and Easter Fair, distribute raffle tickets to the parents prior to event
